Our website address is: https://ventrixit.co.uk
Company name: Ventrix IT Limited (“we”, “us”, “our”)
Registered office: Suite 178, 80 Churchill Square, Kings Hill, West Malling, Kent ME19 4YU

2. Comments

When visitors post comments on our site, we collect the information shown in the comments form, along with the visitor’s IP address and browser user agent string for spam detection.

3. Media

If you upload images to Ventrix IT’s website, please avoid including embedded location data (EXIF GPS). Visitors can download and extract any location information from images.

4. Cookies

  • If you leave a comment, you may choose to have your name, email address, and website stored in cookies for your convenience (these expire after one year).

  • When visiting the login page, we set a temporary cookie to check whether your browser accepts cookies—this contains no personal data and is deleted once you close your browser.

  • On login, additional cookies are set to store your login session (two-day duration) and screen options (one year). If you check “Remember Me,” your login persists for two weeks. Logging out removes login cookies.

  • Editing or publishing a post sets another cookie (contains only the post ID), which expires after one day.

Additionally, we use Cookies and similar tracking technologies such as beacons, tags, and scripts to manage website functionality, authentication, preferences, and analytics.

5. Embedded content from other websites

Articles on this site may include embedded content (e.g., videos, images, articles). Embedded content behaves exactly as if you visited the other website directly. These third-party sites may collect data about you, use cookies, embed additional tracking, and monitor your interaction with this content—even if you have an account on those sites and are logged in.

6. Who we share your data with

  • Service Providers: We may share personal data with third-party providers who support our services (e.g., analytics, hosting, support tools). They are contractually bound to use the data solely on our instructions.

  • Business Transfers: Your data may be transferred in connection with mergers, acquisitions, or corporate restructuring (as a business asset). We will notify you beforehand.

  • Legal Compliance: We may disclose personal data if required by law or to protect our legitimate legal interests (e.g., fraud prevention, safety, legal claims).

7. How long we retain your data

  • Comments and related metadata are retained indefinitely to facilitate automatic recognition and approval of follow-up comments.

  • User account information is stored as long as the account exists; users can view, edit, or delete their data (except usernames). Administrators can also access and modify user information.

  • For purposes such as legal obligations or analytics, we retain personal and usage data only as long as necessary.

8. What rights you have over your data

If you have an account or have left comments, you may:

  • Request an exported file of the personal data we hold about you.

  • Request erasure of your personal data (excluding any data we must retain for legal or administrative reasons).

  • Access, rectify, restrict or object to processing, and—where applicable—exercise your right to data portability.

  • Lodge a complaint with the UK Information Commissioner’s Office (ICO), though we’d prefer the opportunity to address your concerns directly first.

9. Where your data is sent

Visitor comments may be processed through an automated spam detection service. Your IP address may be included in password reset emails to aid in security.

10. International transfers and security

  • Personal data may be processed and stored where our service providers operate, potentially outside of the UK or EEA. In such cases, we ensure adequate safeguards (e.g., standard contractual clauses) are in place.

  • We employ commercially reasonable security measures to protect your personal data, though no system can be 100% secure.

11. Children’s privacy

We do not knowingly collect personal data from anyone under the age of 13. If you believe a minor has provided us with data, please contact us so we can promptly remove it.

12. Links to other websites

Our service may include links to third-party websites. We have no control over their privacy practices and strongly encourage you to review their privacy policies.

13. Changes to this Privacy Policy

We may update this policy occasionally.
